Cancellation Policy


NHSA Payment, Cancellation, Substitutions and Refund Policy


In order to plan for and deliver high quality trainings and conferences, NHSA must estimate attendance, enter contracts, and prepay many expenses. Therefore, we must follow a strict, fiscally sound refund/cancellation policy.

Payment

Registration for all NHSA trainings, conferences, and online events, will be accepted only if full payment, including full payment of purchase orders, is received prior to the cut-off dates indicated on conference/training materials. Full payment must be received in order for registration to be considered complete and space reserved in selected session(s).

Cancellation

All requests for cancellation refund must be submitted in writing prior to the start of the Conference. Cancellation notifications must be emailed to nhsa@expotracker.net or mail to:

Registration Cancellation for cancellations received up to three weeks prior to the first day of the Conference will be assessed a $75 cancellation for one registration or $150 for more than one. Cancellations made after this date will not be eligible for any refunds. After the Conference starts, cancellations due to extenuating circumstances (i.e. death, accident, serious illness) must be submitted in writing, include appropriate verification and must be received by NHSA (at the address noted above) prior to the last day of the Conference. No refunds will be granted for any reason after the Conference has ended.


Please note: If cancellation is requested, refunds will first be applied to any outstanding balances NHSA has related to you or your organization. If funds are remaining after outstanding invoices are paid, refunds will be sent four (4) to six(6) weeks after the end of the Conference.

Special Tracks and Training Seminars

If your request for a special track or training seminar is full, you will be notified via email. NHSA will issue a credit equal to the amount of the session fee paid. This credit may be applied toward another session or if requested, a refund check will be sent four (4) to six (6) weeks after the end of the Conference.

Special Tracks, Special Events and Training Seminars Cancellation:
no refunds for special tracks, special events or training seminars will be granted, for any reason, to registrants canceling after the conference has started.

Substitutions

Substitutions are permitted, however notification must be received in writing. Please send the name of the original registrant and the name of the person substituting to NHSA three weeks before the start of the conference. You may email those requests to the email address listed above. Please include “Conference Substitution” in the subject line. Substitutions can also be made on-site at the conference registration desk with proof of payment for an original registrant.

Refunds
Optional Special Event Tickets

Because NHSA makes financial obligation based on the number of tickets sold for Special Events, we cannot refund tickets unless the event is cancelled.  You may sell or give your ticket to another individual.
